Exhibit Space

Exhibits will be placed in the hotel adjacent to the technical session meeting rooms. International SEMATECH Manufacturing Initiative (ISMI) reserves the right to modify the floor plan if it is in the best overall interest of the Symposium.

Exhibitors will be assigned a 6' x 2' x 30" skirted table, 2 padded chairs, and one 110-volt electrical outlet for lighting and low-power equipment and wastebasket.

Please clearly describe your display type on the Exhibitor Registration form so space can be planned accordingly. ISMI may also accommodate floor displays/pop-up booths with prior approval from the exhibitor coordinator.

Exhibit space is allocated on a first-paid basis determined by the receipt of the registration form and payment. When the exhibit space available to ISMI by the hotel is completely reserved, the exhibit registration will be closed.

The hotel requires that all requests for Exhibitor items such as phone lines, plants, etc., be made at least one (1) month prior to the date of the Symposium.

*All shipping materials must be removed by 5:00 PM before the start of the reception on Sunday.

Registration and Payment

Completed online exhibitor registration forms and payment must be received by September 15, 2008. Please follow payment/remittance instructions on the Exhibitor Registration form. Payment may be made by credit card (preferred) or company checks.

Exhibit space is considered reserved upon receipt of payment, NO EXCEPTIONS. If payment is made by check, registration may be delayed until the check has been processed. A 10% check processing fee will be added to all exhibitor registrations paid by check.

An e-mail confirming receipt of application and payment will be sent to exhibitors after payment is received and processed by SEMATECH.

The exhibit booth registration of $2500 will include:

 

The exhibit booth registration of $5000 will include:

  • Single exhibit booth space and
  • Two (2) complimentary conference registrations, at no additional charge for personnel from the company sponsoring the exhibit. These complimentary registrations do not include free registration for optional paid events (such as short courses/tutorials), but they do include all other activities and meals. It is assumed that these two people will be at the Symposium primarily to staff the booth during exhibit hours.

 

  • Double exhibit booth space and
  • Four (4 ) complimentary conference registrations, at no additional charge for personnel from the company sponsoring the exhibit. These complimentary registrations do not include free registration for optional paid events (such as short courses/tutorials), but they do include all other activities and meals. It is assumed that these four people will be at the Symposium primarily to staff the booth during exhibit hours.

Please note the following additional fees that may apply:

  • ALL additional symposium registrations from the exhibiting company personnel will be at the normal rates with the normal price cut-offs and refund rules.
  • There is an additional $75 registration fee for spouses or guests of exhibitors.
  • Any additional expenses including (but not limited to) shipping, handling, on-site storage, A/V special requests or local equipment rental, will be borne by the exhibitor, not ISMI.

Cancellation/Refund Policy

  • A full refund will be given to all cancellations received on or before August 29.
  • A $200 cancellation fee will be deducted from all refunds on cancellations received after August 29 but on or before September 18.
  • No refunds, for any reason, will be given to registered exhibitors who do not show up to exhibit at the Symposium or who attempt to cancel after September 18.
  • Attendee substitutions will be accepted at anytime, even at the door.
  • All cancellation requests must be made in writing.

Shipping Instructions

Exhibitors are responsible for contracting for the shipment and handling of all their exhibit materials.

Shipping arrangements for Exhibitor materials must be made with Modern Exposition Services. DO NOT ship Exhibitor materials directly to the hotel. The hotel will not assume any responsibility for merchandise sent to the hotel for storage.

Incoming Materials

In order to ensure timely delivery of exhibitor materials to the Symposium, please make note of the following dates:

  • Packages must arrive no earlier than September 13. Materials that arrive earlier will not be accepted.
  • All shipments must be received by September 29. Shipments not received by Modern Exposition Services by September 29 will be subject to additional fees.

Outgoing Materials

All outgoing boxes must be packed, sealed, and labeled by the Exhibitor. Exhibitors must follow the shipping instructions provided in the Modern Exposition Services Exhibitor Kit for outbound shipments.

Shipping Questions?

All questions related to the shipment of exhibitor materials should be directed to Modern Exposition Services or the hotel's conference/event manager before the meeting.

Signs and Banners

There is to be no rigging of signs, banners, lights, sound, etc., from any ceiling in the hotel without their expressed prior approval. In addition, no signs are to be taped on walls, doors, columns, or windows. No nails, hooks, screws, tacks, or adhesives may be used to secure signs or other paraphernalia. Please make arrangements with the hotel to handle any special requests regarding signs and banners.

Electrical, Lighting, Telephone, AV, and Internet

For electrical, lighting, and telephone needs, please complete the Snowbird Conference Center Exhibitor Order form (MS Word) and return it to the hotel. Please allow ample time to process your request.

All exhibitors must observe the following rules and regulations:

  • Wall, column, and permanent building outlets are not a part of booth space and are not to be used by exhibitors unless specified in writing by the hotel.
  • Under no circumstances shall anyone other than hotel staff make electrical connections.
  • Use of open clip sockets, latex, or lamp cord wire and duplex or triplex attachment plugs in exhibits is strictly prohibited.
  • All extension cords supplied by exhibitor must be 3-wire grounded types.
  • All equipment, regardless of source of power, must comply with NEC electrical codes, as well as the hotel electrical codes.

All material and equipment furnished by the hotel staff shall remain the property of the hotel and can only be removed by hotel engineering personnel at the close of the function.

Exhibitor is responsible for any and all damages to floor coverings and walls caused by exhibitor and/or exhibitor's employees.

The hotel is not responsible for power outages.

Additional Charges for Special Wiring

Arrangements for additional wiring and electrical work on exhibitor's display will be the responsibility of the Exhibitor. Proper tagging of equipment to indicate voltage, phase, current, etc., is the exhibitor's responsibility.

Additional Phone Lines

Please refer to the Snowbird Conference Center Exhibitor Order form (MS Word) for information about additional phone lines, including local and long distance phone charges.

Audio/Visual/Computer Equipment

Audio-visual equipment is available on premises at the hotel. Microphones, screens, sound equipment, plus a full range of other audio-visual equipment and services are available by advance order from the hotel. Please refer to the Snowbird Conference Center Exhibitor Order form (MS Word) for more information.

Wi-Fi and Ethernet Internet Access

WI-FI high-speed Internet access and Ethernet Internet access is available on premises at the hotel. Equipment is available by filling out the Snowbird Conference Center Exhibitor Order form (MS Word).

Billing Options

The hotel accepts the following credit cards for any of the above services purchased from them:

  • Discover

The completed Snowbird Conference Center Exhibitor Order form (MS Word) must be submitted one (1) month prior to arrival. The hotel will not perform service if proper payment is not received.

Safety and Security

AEC/APC will provide security in and around the exhibit area from 7:30pm until 7:00am, Sunday, Monday, and Tuesday; although it is recommended that laptops and other easily removed items of value should not be left overnight. Neither the hotel, SEMATECH nor ISMI will be responsible for the loss or theft of property belonging to any Exhibitor, its agents, employees, visitors, or guests. Each Exhibitor must carry full insurance for the entire duration of the show. Exhibitors assume all responsibility for compliance with local, city, county, state, and federal ordinances and regulations covering fire, safety, and health. Only fireproof materials should be used in displays and Exhibitors should take necessary fire precautions.

Exhibitor Responsibilities

In the event that any damage occurs to the hotel furniture, fixtures, building, or equipment caused by installation, presence, and/or removal of exhibit materials, the Exhibitor shall reimburse the hotel for the cost of such repair, or replacement as may be necessary.

Disclaimers

By registering as an Exhibitor, the Exhibitor indemnifies and agrees to hold harmless the hotel, SEMATECH and ISMI, its officers, directors, employees and agents, from and against any actions, losses, costs, damages, and expenses (including attorney fees) arising from damages to property or bodily injury to the Exhibitor, his agents representatives and employees by reason of the Exhibitor's occupancy or use of the Exhibitor's facilities.

Neither the hotel nor SEMATECH/ISMI are responsible for any lost, stolen, damaged or misdirected equipment, personal items or business-related property brought onto the premises by an Exhibitor, guest, group contractor, etc. This includes items that are in the meeting rooms outside of the event hours.
